Event and Booking Data: Private event details including dates, venues, guest counts, and financial information related to event bookings managed through our platform.

Communication Records: Records of SMS messages, email notifications, and alerts sent through our systems.

Technical Data: Device information, IP addresses, and usage data collected automatically when interacting with our web-based services.

How We Use Information

We use the information we collect to:

SMS Messaging Program

Analytics Incite operates an SMS alert program for authorized staff members at client organizations. This program sends operational notifications related to private event management, including:

  • New inquiry alerts
  • Booking status updates
  • Payment and balance reminders
  • Pipeline health summaries
  • Time-sensitive action items

Message frequency varies based on business activity. Message and data rates may apply. Staff members can opt out at any time by replying STOP to any message. For help, reply HELP or contact lucas@analyticsincite.com.

Phone numbers collected for the SMS program are used solely for delivering operational alerts. We do not sell, rent, or share phone numbers with third parties for marketing purposes.

Information Sharing

We do not sell personal information to third parties. We may share information only in the following circumstances:

  • With client organizations whose staff members use our services, as necessary to provide those services
  • With service providers who assist in operating our platform (such as cloud hosting, email delivery, and SMS delivery providers), subject to appropriate data protection agreements
  • When required by law, regulation, or legal process
  • To protect the rights, safety, or property of Analytics Incite, our clients, or others

Data Security

We implement reasonable administrative, technical, and physical safeguards to protect information against unauthorized access, alteration, disclosure, or destruction. These measures include encrypted communications, access controls, and secure data storage.

Data Retention

We retain information for as long as necessary to provide our services and fulfill the purposes described in this policy, unless a longer retention period is required by law.

Financial Data Services — Plaid Integration

In connection with our bookkeeping and financial reconciliation services, we use Plaid Inc. (“Plaid”) to connect to our clients’ bank accounts and credit card accounts for the purpose of retrieving financial transaction data for reconciliation.

Financial Information We Collect Through Plaid

Through our integration with Plaid, we may collect the following types of financial information with your authorization: account holder name and account identifiers; account balances; transaction history including dates, amounts, and descriptions; and account and routing numbers as needed for reconciliation purposes.

How We Use Your Financial Information

We use the financial information collected through Plaid solely for the purposes authorized by our clients, which include: performing bank account and credit card reconciliation; preparing financial records and reports; and supporting bookkeeping and accounting functions for our clients’ businesses.

How We Protect Your Financial Information

We take the security of your financial data seriously. All data is processed and stored within our Microsoft 365 and Azure environment, which provides: encryption of all data in transit using TLS 1.2 or higher; encryption of all data at rest using BitLocker and Microsoft service encryption; multi-factor authentication for all access to systems containing financial data; role-based access controls limiting data access to authorized personnel; and continuous endpoint protection and vulnerability scanning through Microsoft Defender.

Financial Data Sharing

We do not sell, rent, or trade your financial information to third parties. We do not share your financial information except: with your authorization as part of the services we provide to our clients; as required by law, regulation, or legal process; or with service providers who assist in delivering our services, subject to confidentiality obligations.

Financial Data Retention

We retain financial data for the duration of the active client engagement and for seven (7) years thereafter to comply with tax and regulatory recordkeeping requirements. After the retention period, data is securely deleted in accordance with our Data Retention and Disposal Policy.

Your Rights Regarding Financial Data

You have the right to: request information about the financial data we hold; request correction of inaccurate data; request deletion of your data, subject to legal retention requirements; and revoke your authorization for Plaid-based data access at any time.
